Keeping Your Credentialing Documents Current

You can view all your credentialing documents in one place in your Loula portal, right on the Credentialing page. You'll see what's on file, what's coming up for renewal, and what needs your attention. No digging through old emails to figure out what you sent us.

Where to find your documents

Go to your Credentialing page and click into Documents. Each document shows up as its own card, with its status and expiration date if it has one.

What we track

Some documents expire and need renewal. Others don't.

Documents that expire:

  • Proof of Liability Insurance (expires annually)

  • CPR Certificate (expires every 2 years, must include an in-person component)

  • Identity Document (expiration timing varies)

  • HIPAA Training (expires annually)

Documents that don't expire:

  • Medi-Cal Enrollment Letter

  • Proof of Training/Syllabus

  • Letters of Recommendation

How to renew each document

  • Proof of Liability Insurance

    • You have a few options for professional liability insurance. The two we see most commonly are CM&F Group and Alternative Balance. Pricing typically runs $80 to $300 a year depending on the package.

    • Not every policy covers home births, so read the terms carefully before you buy.

  • CPR Certificate

    • Your certification needs an in-person component and must come from the American Red Cross or the American Heart Association. Look for a course that covers both adult and pediatric CPR.

    • To find a class near you, try searching "American Heart Association CPR near [your zip code]." This will surface local, AHA-certified providers.

  • Identity Document

    • If you're renewing a driver's license, do this through the California DMV. Some renewals require an in-person visit, so plan ahead.

    • If you're renewing a passport, you can do that through the U.S. Department of State.

  • HIPAA Training

Uploading a new document

If a document is expiring, missing, or you have an updated version, click into that document's card and upload the new one. Your upload goes to our team for review.

When you open a document's card, you can also see documents you previously uploaded.

How review works

Once you upload a document, our team reviews it, typically within 3 business days. You'll see the updated status right in your portal once it's approved.

If a document is marked invalid, your Provider Success Manager will reach out directly to explain why and help you get it sorted.

What happens when a document expires

If a required document expires and isn't renewed in time, your account is blocked. This means you can't create new clients or submit new visits until the document is resolved.

Blocking doesn't affect your existing client relationships or any visits you've already submitted. It only stops new activity until you're back in good standing.

Each document type has its own timeline once it expires:

  • Proof of Liability Insurance blocks you immediately once it expires.

  • CPR, HIPAA, and Identity Document give you 30 days past the expiration date before blocking you.

Once you upload a valid document and it's approved, the block is lifted automatically.

Two examples:

  • Your CPR certificate expires September 1. You have until September 30 to submit a new one before you're blocked from creating new clients or submitting visits.

  • Your Liability Insurance expires September 1. You'll be blocked right away, so it's worth renewing ahead of the expiration date if you can.

It's important to keep documents current, both for your ability to keep working and for compliance with our health plan contracts.

How do I know if any of my documents are expired?

You can check the status of your documents on the Loula portal at app.joinloula.com under the "Credentialing Page." On that page, there is a tab called "Documents."

Documents that are already expired, expiring soon, or missing will show up here.

What if I'm still waiting on a document, like a CPR certificate that's scheduled but not done yet?

Message your Provider Success Manager at [email protected]. For compliance reasons, it's important that documents stay current, so the sooner we know your timeline, the better we can help.

Will my documents expire again after I renew them?

Yes, for Liability Insurance, CPR, HIPAA, and Identity Document. You'll be able to see upcoming expiration dates in your portal.

What if my document gets marked invalid?

Your Provider Success Manager will reach out to explain why and help you fix it.
