Client insurance cards or documentation is required

A client just called you and they're ready for your services, BUT they don't have their physical insurance card. You might be wondering:

Can I create this client in the Loula portal and begin visits before the card arrives and upload it later? What if I have their group number and plan details handy, just not the card?

Unfortunately, no. For any managed care plan, the insurance card must be provided before you can create the client in the Loula portal. We cannot accept just the group number or plan details without official documentation. This is to ensure that we have accurate insurance information for our insurance verification and eligibility check process.

Can I schedule visits with the client in the meantime?

We recommend that you do not schedule visits with the client until they have their insurance verified.

What Are the Workarounds?

If a client doesn’t have their physical card yet, they have the following options: :

  1. Wait for the physical card to arrive. This is the simplest option if the card is expected soon.

  2. Send you a photo of an official email or mailed document from the managed care plan that includes the client’s name and all insurance details.

  3. Log into their managed care plan portal and download a virtual copy of the cards.

  4. Call their managed care plan and request a virtual copy of the card to be emailed to them.

In order to provide the most accurate insurance verification result and ensure that you are paid for the work you do, Loula needs some form of official documentation from the managed care plan of your client’s insurance details. Using one of these workarounds ensures there are no delays in starting care for your clients. If you have any questions, reach out to our support team!
