As of October 2025, Loula now supports different roles and permissions for doula groups.
Roles and Permissions
Doula group users fall generally into two buckets -- admins and members.
Admin - admins can see all group activity and can create clients/submit visits on behalf of others in the group.
Members - members only see activity that is performed or attributed to them, or may be set up to have Onboarding only permissions.
Owner Admin
Every doula group must have an owner. Owners have all the permissions that admins have. You can think about them as a special type of admin, with the following privileges:
Sign a contract for their doula group
Set up and manage their group's Stripe direct deposit account
Set up and manage their group's Group directory profile.
Admins
Doula groups can have multiple admins. Admins can do the following:
Create clients and share them with other doulas in their group
Submit visits on behalf of others in their group.
Admins will be able to see:
All clients created within their group
All visits submitted within the group
Admins can also be non-doulas. For example, if your doula group has a non-doula administrator who handles medical billing, they may be set up as a non-admin doula.
Non-doula admins are able to:
Create clients and share them with other doulas, and
Submit visits on behalf of doulas in their group.
Non-doula admins are not able to:
Get credentialed as a doula provider with Loula
Have a client shared with them nor
Have a visit be attributed to them.
Full-access members
Some members of your doula group may be set up as full-access members. Full-access members are able to:
Create clients for themselves
Submit visits for themselves
All clients created by full-access members and visits submitted by full-access members will also be visible to admins.
Admins may share clients with full-access members or submit visits on behalf of full-access members.
Full-access members will not have visibility into clients that are not explicitly shared with them.
Onboarding-only members
Onboarding-only members are the most basic level of permissions you can give a member of your doula group. Onboarding-only members only get access to the onboarding portion of the Loula platform. This allows Loula to get these members credentialed with health plans doula providers.
Onboarding-only members are not able to create clients themselves or submit visits themselves.
Onboarding-only members can have clients shared with them and visits submitted on their behalf.

Setting up roles and permissions on Loula
Your roles and permissions are set up by your point of contact when you're invited to a group.
Admins may see all the admins and members associated with each group by going to Settings > Group.
If at any point, you need to change the role of a particular member of your group, just email [email protected] and a member of the Loula Team will help you change the roles and permissions.

Creating clients as a group admin

Summary
Every client must be shared with at least one doula in your group when you create a client.
After client creation, you may share the client with additional doulas at any time on the Client Profile in the [...] menu on the upper right-hand corner.
If you want to un-share a client with a doula in your group, you should contact [email protected]
A client can be shared with multiple doulas.
All doulas must be credentialed with the client's health plan in order to have the client be shared with them.
Full-access members will only see a client in their client list if they have created the client or the client has been explicitly shared with them.
Admins can see all clients in their group, even if they are not explicitly shared with the client.
Submitting visits as a group admin

In general, we encourage you to make sure a doula is shared with a client before you attempt to submit visits performed by their doula
You may submit a visit performed by a doula who is not currently shared with the client as long as the doula is credentialed with the client's health plan. The client will automatically be shared with the doula once you submit the visit.
For doula groups, we now display who created the visits and who performed the visit. On the Visit Details page:
Doula field = the doula who performed the visit
Created by field = the doula who created the visit
Owner-specific features
Only owner admins can manage the sign the group contract, group's Stripe account and set up the group's directory profile.
Summary
Owners will be prompted to sign a group contract for their group during onboarding if they have not already.
Owners must set up direct deposit or else no one else in their group will be able to submit visits.
Owners are the only ones who can view and make changes to their Stripe Connect account.
Owners are set up with a Doula Group Directory Profile.
Client referrals will be routed to the owner's email from [email protected]
The plan list populated on the group profile pulls in any plans that any doulas in your group are credentialed with.
